Community Room Request

COMMUNITY ROOM POLICY AND PROCEDURES
1. Any tenant who requests use of a WHA Community Room must be paid up in full on all rent and charges, have met community service requirements (for family sites) and be of legal age, unless other arrangements have been made with WHA management.
2. Please complete the “Community Room Request Form” to obtain permission to use the room. (See attached). All reservations will be handed out on a first come, first serve basis. All applications will be subject to the approval of the Tenant Relations Coordinator.
3. Once an application is approved, the Tenant Relations Coordinator will notify you of approval. The day of use (or on Friday for weekend use), you must bring the approved Community Room Request Form to the Administrative Office to receive a key to the Community Room. Administration office hours are 8:00 a.m. to 3:00 p.m. If you do not get the key before the event you will be charged a lockout fee of $26.00 to receive the key from the on-call maintenance staff.
4. If you are using the Community Room on the weekend, you may have to give the key to another tenant or group who will be using the room. The key must be returned to the Administrative Office on the next business day.
5. When you request and use one of our Community Rooms, please take into consideration that the room must be thoroughly cleaned before you leave it. It is your responsibility to clean up the room for the next user. Failure to return the Community Room to an orderly condition after an event will result in possible termination of privileges. Any charges related to cleanup will be charged according to the list of charges.
6. Attendance in the Community Rooms must not exceed the maximum capacity of the premises as determined by WHA and/or Fire Code. The maximum allowable number of people will be posted at each site.
7. The WHA is not responsible for the safekeeping and care of any equipment, furniture, supplies or material used and placed in the premise.
8. Any injury or damage to a person or property occurring from the use of the Community Room shall be the exclusive liability of the requester.
9. The requester shall not permit the premises to be used for any purpose by anyone other than the requester and members.
10. The requester will not engage in or permit the sale or use of alcoholic beverages and will not engage in or permit any illegal activity.
11. The requester will confine the placement of posters and bulletins to the bulletin board in the interior of the building unless otherwise given permission from WHA management. All posters are to be removed immediately after the event has been completed.
12. WHA management reserves the right to review all arrangements.
13. Any equipment belonging to WHA is not allowed to be removed without the prior permission and supervision of WHA management.
14. Any partisan political activities must be arranged through the Tenant Associations.
15. WHA management reserves the right to revoke the use of the Community Room, if, in the opinion of the WHA management the premise is not being properly used.
Failure to abide by the Community Room Policy and Procedures may result in:

  • 1st Incident: The tenant/household members cannot use any WHA Community Room for 1 month from the date of the incident;
  • 2nd Incident: The tenant/household members cannot use any WHA Community Room for 2 months from the date of the incident;
  • 3rd Incident: The tenant/household members cannot use any WHA Community Room for 6 months from the date of the incident.
Any incident involving police intervention or other law officials and/or WHA intervention or any involvement with liquor, drugs, violence, etc. will result in immediate banning of the tenant(s) responsible and all household members from all WHA Community Rooms through tenancy.

Community Room Request

I agree to observe all the rules and regulations governing the use of the Community Room and to leave the premises and fixtures in a clean and sanitary condition, to dispose of all trash, garbage, and other refuse in a sanitary manner. Failure to do so and to adhere to this contract may prohibit me from using the Community Room in the future.
